Administrative assistant and HR manager (60 %)
Work description
We are looking for an assistant to support our administrative activities starting from 1 April 2025. The overall workload we currently foresee for the main tasks is about 24 hours per week. The work will be performed in close collaboration with our operations and finance leads as well as our accountant and insurance consultant. The work can generally be performed from home with regular
- person or virtual meetings with the other team members. Requirements- Experience in administrative and HR work (ideally in Switzerland)- Experience in financial accounting (ideally in Switzerland)- Experience with Microsoft Office (Word, Excel, Powerpoint)- High levels in written and spoken German and English- Motivation to support a dynamically growing, internationally active

Main Tasks (urgently required)- Finance administration: aligning of all incoming and outgoing invoices in bills, checking for completeness on a monthly basis with the help of various
- up management softwares; communication and alignment with accountant team;- Support of HR: employment contract management, communication of staff mutations to insurance bodies (AHV, SVA, etc. ), administration of all HR information in the
- up management softwares, vacation and other HR topic management including job
- Customer handling: onboarding as supplier, handling of all financial transactions;- Support of archiving: legal document check up, sorting, scanning,
- General support: administration of business trips, purchase of office material, team event organization support, interaction with accounting team from our Portugal branch
Additional Tasks (very welcome)- Support in financial controlling by analysis of different cost and revenue streams as well as preparing relevant reporting
- Support of management of homepage content and
- Support of marketing activities and material design (e. g. course announcements, product leaflets, company brochure)We
