Job Description
What you'll do:
- Manage expenditure requests from various stakeholders, including archiving contracts and processing purchase orders.
- Oversee outsourcing contracts with service providers across all sites, including onboarding new contractors, managing departures, and renewing contracts, in collaboration with finance.
- Assist in invoicing processes, collecting monthly invoicing data, ensuring accuracy, and liaising with relevant departments.
- Issue client invoices and maintain digital records of all invoices issued.
- Handle general services for the Lisbon office, including office supplies, equipment orders, and access control.
- Coordinate recruitment activities such as liaising with service providers, scheduling interviews, and onboarding new staff.
- Manage IT equipment inventory and liaise with the IT department.
- Serve as a point of contact for HR administrative issues within the Lisbon office.
Qualifications
What you'll need:
- Knowledge of enterprise operations and administrative processes.
- Proficiency in MS Office tools; familiarity with SAGE accounting software is a plus.
- Higher education in accounting, management, administrative management, or secretarial studies (2-3 years).
- 2-3 years of experience in a versatile administrative role.
- Fluent in French, Portuguese, and English.
