We are seeking an Assistant Facilities Manager for our Work Dynamics business line.

Role Purpose
This role is based in Lisbon, Portugal, with coverage of remote sites in Finland and The Netherlands. The Assistant Facilities Manager will support the Regional Facilities Manager and EMEA Account Director in managing vendor groups and ensuring the tactical delivery for assigned properties. The role involves acting as the
- site contact for key stakeholders and/or clients, overseeing maintenance, operations, contract services, procurement, occupancy services, and helpdesk functions via Corrigo ticketing system.
Key Responsibilities
- Client/Stakeholder Management: Provide excellent customer service, build relationships, monitor procedures, participate in meetings, and communicate professionally.
- Procurement & Vendor Management: Support vendor services, procurement processes, and ensure compliance and proper documentation.
- Contracts Management: Ensure contract delivery aligns with company standards and monitor expiry and
- procurement needs. - Finance Management: Assist in financial operations, budget adherence, and cost control.
- Health & Safety Management: Implement safety procedures, ensure compliance, and manage risks through site inspections and audits.
- Site Operations Management: Oversee site management, maintenance, operations, cost reduction initiatives, and coordinate building activities.
- Risk Management: Support risk management programs, disaster recovery, and incident reporting.
Qualifications and Skills
- Experience in facilities, property management, hospitality, or related fields.
- Knowledge of local health and safety regulations.
- Experience with critical facilities and vendor management.
- Understanding of commercial contracts and financial analysis.
- Strong leadership and communication skills.
- Proficiency in MS Office.
