Business Operations Lead – Lisbon

We're currently seeking an experienced Business Operations Lead to join us in Lisbon. This is a key role for us which will be responsible for managing administrative and IT support functions while ensuring efficient operational processes across the business. This includes overseeing the Admin Support Specialists, coordinating IT‑related tasks, and supporting Finance with invoicing for projects. The role requires strong organizational skills, process oversight, and cross‑departmental collaboration to ensure smooth day‑to‑day operations.
Responsibilities
- Act as a central link between admin, IT, and leadership for operational matters.
- Supervise and coordinate the Administration team in the UK and Portugal ensuring tasks are distributed effectively and service levels are met.
- Oversee day‑to‑day office administration including procurement, vendor management and facility support.
- Ensure company policies, procedures and standards are followed across all administrative activities.
- Oversee project invoicing in collaboration with Finance.
- Ensure accuracy and compliance of invoices with contracts, milestones and client agreements.
- Track invoicing progress, payment status and outstanding receivables in collaboration with Finance.
- Maintain invoicing logs and prepare monthly invoicing reports for management.
- Maintain oversight of project documentation, contracts and operational files.
- Support Finance and HR audits by providing relevant records and reports.
- Coordinate with the Senior IT Specialist to align IT priorities with operational needs.
- Ensure the allocation of IT equipment, accounts and software licensing is planned and tracked.
- Monitor IT support delivery indirectly through reporting from the Senior IT Specialist.
- Provide regular updates on administration, invoicing and IT service performance to the CEO.
- Deliver operational reports for management meetings, highlighting risks and improvement opportunities.
Qualifications
- 15+ years experience in administration, operations or business support.
- Prior experience supervising staff (admin/IT support teams).
- Knowledge of invoicing, procurement and operational workflows.
- Proficiency in MS Office, ERP/finance systems and basic IT knowledge.
- Strong organizational and multitasking skills.
- Ability to handle confidential information with discretion.

Head of Accounting & Tax – Lisbon

We are seeking an experienced and highly skilled Head of Accounting & Tax to lead the company’s financial reporting, accounting operations and tax strategy. This role is critical in ensuring compliance, accuracy and efficiency across all financial processes in a dynamic, fast‑paced tech environment.
The ideal candidate combines strong technical accounting and tax knowledge with hands‑on experience in Microsoft Dynamics 365 Business Central, the ability to lead teams and a high degree of rigor in process optimisation. Experience in a Big Four firm is required to ensure strong technical foundations and exposure to best practices.
Key Responsibilities
- Oversee accounting operations, including general ledger, accounts payable, accounts receivable, payroll accounting, revenue recognition and fixed assets.
- Ensure timely and accurate monthly and annual closings.
- Maintain and enforce robust accounting policies and internal controls.
- Lead the audit process with external auditors and manage documentation and compliance workflows.
Tax Management
- Corporate, indirect and employee tax compliance across all relevant jurisdictions.
- Preparation and filing of tax returns, ensuring accuracy and compliance with local tax laws.
- Manage tax planning strategies and assess risks and opportunities.
- Interact with tax authorities and external advisors on audits, clarifications and rulings.
Budgeting & Planning
- Lead the preparation, coordination and consolidation of the annual budget.
- Monitor budget execution and provide periodic variance analysis.
- Partner with FP&A and business units to support forecasting, scenario analyses and long‑term planning.
- Ensure data integrity and alignment between actuals and budget across functions.
Systems & Process Optimisation
- Serve as the internal expert for Microsoft Dynamics 365 Business Central, ensuring best‑practice usage across modules.
- Lead process improvement initiatives, automation efforts and integration projects within BC and related systems.
- Support data governance and ensure high‑quality financial information for reporting and analysis.
Team Leadership & Cross‑Functional Collaboration
- Lead, mentor and develop the accounting and tax team, fostering a culture of excellence, accountability and continuous improvement.
- Work closely with FP&A, Operations, Legal, HR and Product teams to support business growth and strategic initiatives.
- Provide financial insight and technical expertise to support decision‑making and corporate development activities.
Requirements
- Bachelor’s degree in Accounting, Finance or related field; Master’s degree or professional certification (CPA, CA, ROC, CTA or equivalent) preferred.
- Minimum 3–4 years experience in a Big Four firm (audit and/or tax).
- 8+ years of total experience in accounting and tax, preferably in tech, Saa
S or high‑growth environments. - In‑depth knowledge of local accounting standards and tax frameworks.
- Strong experience with Microsoft Dynamics 365 Business Central, including configuration, process mapping and workflow optimisation.
- Strong leadership and team management capabilities.
- Excellent analytical, problem‑solving and communication skills.
