Documentation Purser (M/F) - Seagoing Position

Responsibilities
- In charge of all Immigration Related Matters, passengers embarkation documentation, vessel clearance, passengers departure and arrival manifests, and communication with port agents on ship hotel related matters, ensuring proper communication flow as per Company Procedures.
- Must be able to deal with crew and passengers in a professional manner.
- Must be a good organiser and communicator and feel comfortable working with crew of different nationalities.
- Must be able to work under pressure and meet deadlines and work to established standards.
- Must have a strong character with developed leadership skills.
- Must have a pleasant disposition and friendly personality.
- Must have a high degree of patience and understanding.
- Cabin Occupancy Control in conjunction with the Guest Service Manager.
- Luggage: assist with lost luggage (crew and passenger) in coordination with the Guest Service Manager and Chief Housekeeper; liaise with agents and follow the Company’s communication flow chart. For airline lost luggage, coordinate with the Port Agent.
- Familiar with the ISM Manual and assist audits carried out in the Department by shoreside personnel.
- Fully supervise and control the embarkation/disembarkation process of passengers in coordination with the Hotel Director, the Guest Service Manager, the Cruise Director, and Security; ensure procedures are carried out with precision and professionalism.
- Coordinate with the Financial Controller on matters relating to the payment of passenger accounts; communicate daily with the Financial Controller, Guest Service Manager and Hotel Director at the cruise department meeting.
- Address passenger comments quickly and professionally.
- Identify and report hazardous situations in the department; manage embarkation/disembarkation including medical considerations for passengers.
- Handle Customs & Immigration and ports formalities, departure/arrival manifests, vessel clearance, and passengers’ IDs.

Qualifications
Education/Position Requirements:
- Certified medically and physically fit.
- Good command of the English language; German is a plus.
- Knowledgeable in ISM / ISO, MLC and SQM matters.
- Very strong administrative skills.
- Strong organisational background with experience managing crew benefits and housing.
- Minimum of seagoing experience for at least 1 year on board the vessel type or other adequate experience (unless decided differently by the company).
- Previously held positions of Administration Purser, Accountant or Documentation Purser onboard a passenger cruise ship.
- Minimum of two years of experience in an upscale hotel, resort, or cruise ship.
- Superior customer service, interpersonal, conflict resolution and oral communication skills.
- Ability to operate basic office equipment, including telephones, computers, and copy machines.
- Working knowledge of computers, internet access, and ability to navigate software packages such as Excel, Word, and Power
Point. - Ability to perform basic math functions with regards to Customs and Immigration.
- Experience in managing payroll is mandatory.
Team Communication and Meetings
- Check notice boards daily for relevant information. Attend all meetings and trainings.
- Attend meetings with the Guest Service team on a regular basis.
