We’re looking for a highly organized and proactive Event Assistant to support the Global Event Manager in bringing scale international events to life. This role is essential for executing class forums, conferences, and corporate gatherings—covering logistics, vendor coordination, budgeting, and documentation.

Remote Flexibility
This is a remote role—with a strong preference for candidates based in the EU due to event logistics and time zone considerations—but we are open to exceptional candidates worldwide.
Your responsibilities will include vendor relations, budget tracking, calendar management, and reporting, providing varied and impactful experience across logistics, budgeting, and international coordination.
Responsibilities:
- Event & Logistics Support
Assist in coordinating international events from planning to execution. Liaise with venues, vendors, and stakeholders to ensure timely delivery. Monitor timelines to align logistics with event goals.
- Finance & Budget Management
Track expenses, process invoices, manage vendor payments, and support budget reconciliation and reporting.
- Administrative Support
Manage calendars, schedule meetings, coordinate travel, and organize internal and external meetings to keep stakeholders aligned.
- Documentation & Reporting
Prepare reports, decks, and documentation. Keep track of contracts, itineraries, and event files in shared systems.
- Internal & External Communication
Serve as liaison between the Global Event Manager, internal teams, and external vendors.
Minimum Requirements:
- 3+ years of experience in executive assistance, corporate event support, or related roles.
- Willingness and availability to travel when required.
- Strong organizational skills and ability to manage multiple projects.
- Excellent communication and interpersonal skills, especially under pressure.
- Solid understanding of budgeting, invoicing, and expense management.
- Proficiency in Google Suite, Microsoft Office, and general tech savviness.
- Fluency in English and Spanish (spoken and written).
