Compensation: €1, 500–€2, 200/month gross to start + Annual Bonus Profit Share

We streamline our client's contract management workflows (how these contracts are created, sent, tracked, analyzed and stored) using automation and AI to save time, money, and headaches.
About the Role
We’re looking for an Executive Assistant who doesn’t just “follow instructions, ” but actively drives clarity, keeps projects moving, and builds internal systems that help the entire team operate better.
You’ll support the founder directly across

- day priorities, own internal project coordination, and help lead the evolution of our delivery playbooks and operational workflows. You’ll be managing client communications, coordinating with assistants and developers, updating SOPs, testing templates, and ensuring nothing slips through the cracks. You’ll also contribute to improving how we work — not just what we deliver.
This is a hybrid role based in Lisbon (Marques de Pombal), with some
- office days and remote flexibility. The founder is based in Lisbon but 95% of our clients are US-based.

What You'll Be Doing
- Act as the founder’s right hand — managing inboxes, calendars, and daily priorities
- Format and structure documents in Word and Google Docs
- Create and maintain SOPs and internal documentation libraries
- Help build and test workflows (training provided)
- Manage task boards (Click
Up, Airtable), follow up with stakeholders, and remove blockers
- Draft and improve client communications and email templates
- Record
- share videos to explain processes (no editing needed)
- Review project delivery checklists and suggest operational improvements
- Communicate with clients to schedule meetings, confirm details, and follow up on requests
Requirements
- Tech-savvy and a quick learner
- Native English level
- Strong organizational and time management skills
- Confident communicator with a proactive mindset
- Experience with Docusign
- Comfortable using AI tools like Chat
GPT to enhance productivity
Bonus Points (Not Required)
- Familiarity with Google Workspace, Click
Up, Airtable, or Docusign
- Experience with design tools like Canva or Figma
- Project coordination or internal operations experience in a startup or agency
Work Schedule
- Monday to Friday, 10:00–19:00 (with flexibility)
- Based in Lisbon (Marquês de Pombal)
