Position Summary
The Executive Assistant & Front Office Coordinator will be based at Legera’s Lisbon headquarters — the firm’s central hub of operations — and will play a pivotal role in ensuring that both the executive office and the front desk operate to the highest standards. This

- class hospitality experience. You will serve as the first point of contact for guests and partners, ensuring that every meeting, detail, and interaction reflects Legera’s culture: precision, composure, and understated excellence. You will support greeting partners, preparing meeting rooms, and assisting the leadership team’s daily agenda, correspondence, and office routine to maintain rhythm and continuity of the firm’s leadership environment. Discretion, presence, and initiative are essential, as is a strong sense of presentation and anticipation in every aspect of your work.
Key Responsibilities
1. Executive Office Coordination
- Manage executive calendars, calls, and correspondence with accuracy and confidentiality.
- Prepare documents, meeting materials, and
- up notes for leadership. - Coordinate meetings, travel, and logistics; ensure seamless execution of daily agendas.
- Support the executive leadership with administrative priorities, office routines, and daily briefings.
2. Front Office & Guest Experience
- Serve as the first point of contact at reception, providing a polished and professional welcome to all visitors.
- Ensure meeting rooms are ready at all times — setting up materials, refreshments, and seating before each meeting begins.
- Provide refreshments and hospitality to guests and partners, ensuring every meeting begins smoothly.
- Maintain the tone, appearance, and readiness of the executive environment throughout the day.
- Anticipate leadership and guest needs with quiet confidence and composure.
3. Administration & Office Management
- Handle routine payments, invoices, and administrative expenses within established approvals.
- Coordinate with accounting, legal, and service providers to maintain documentation and operational continuity.

- through. - Assist in daily office logistics — supplies, deliveries, and internal coordination — to ensure uninterrupted operations.
4. Communication & Representation
- Maintain discretion and professionalism across all communications.
- Liaise effectively with external stakeholders, advisors, and partners.
- Represent the firm’s tone and standards in every detail of office conduct.
Candidate Profile
Minimum Qualifications
- Bachelor’s degree in Business Administration, Management, or related field.
- 2–4 years of experience in executive assistance, administration, or
- office coordination — preferably within an investment firm,
- estate company, or law office.
Core Competencies
- Fluent in English and Portuguese (spoken and written) with excellent drafting ability.
- Impeccable personal presentation, communication, and organizational discipline.
- Service-oriented, composed, and able to manage multiple priorities independently.
- High level of discretion, judgment, and reliability.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Power
Point).
