To support this growth, we are now recruiting an Executive Assistant and Office Manager who will ensure that both the leadership team and the office environment operate smoothly and efficiently. This role is central to the

- day rhythm of the company: you will manage executive priorities, coordinate logistics, and maintain an organised and professional workspace that enables the scientific and operational teams to perform at their best.
This position is ideal for someone who enjoys being in a dynamic environment, handles complexity with calm and structure, and takes pride in enabling others to excel.
Your responsibilities
Office and Operations
• Oversee the daily functioning of the Lisbon office, ensuring that supplies, equipment, meeting rooms, and common areas are always prepared and in optimal condition
• Act as the point of contact for office management, maintenance, cleaning, IT vendors, and service providers
• Manage mail, shipping, deliveries, and office purchases
• Welcome guests, partners, investors, collaborators, and candidates, ensuring a professional and organised reception
• Assist in planning and executing internal events, visits, and team gatherings
• Monitor office needs proactively and resolve issues before they affect the workflow
Executive Support
• Manage calendars and scheduling for members of the leadership team, coordinating meetings, priorities, and
- sensitive requests
• Anticipate conflicts and reorganise agendas to ensure smooth execution of daily and weekly plans
• Arrange domestic and international travel, including flights, accommodation, transport, and documentation
• Request briefing materials, prepare meeting packs, and ensure executives are fully equipped for each engagement
• Act as a communication channel between leadership and internal/external stakeholders
• Support expense management, reimbursements, and administrative reporting
• Handle all information and documentation with the highest level of confidentiality
What we are looking for
• Availability to work onsite in Lisbon, Monday to Friday
• A minimum of 3 years of experience in Executive Assistance, Office Management, or similar roles
• Excellent written and spoken communication skills in Portuguese and English
• Strong familiarity with Google Workspace tools (Calendar, Gmail, Meet, Drive)
• A highly organised,
- driven, and proactive working style
