What You’ll Do
As an Executive Assistant (EA), you will provide comprehensive, timely and accurate administrative support to experienced Senior Leaders across EMESA from our Global Services hub in Lisbon. You may support leaders outside your direct remit and provide broader team support. You will collaborate with all relevant parties to deliver seamless service to stakeholders and case teams, ensuring we are seen as “one team. ” You are expected to grow throughout your career, building and improving your skills to meet evolving needs. EAs are an essential part of the office, and you will be flexible and willing to help fellow team members while collaborating across functions.

Responsibilities
- Managing multiple calendars with an understanding of business priorities to offer alternatives and efficient use of senior leadership time
- Processing timesheets and expenses for senior leadership on a timely basis; reconciling monthly corporate card charges
- Providing general administrative support to senior leadership staff: typing, telephone support, mail, copying, filing, calendar functions, voice mail and
- mail distribution lists - Answering and routing phone calls, greeting and directing guests, handling incoming deliveries and outgoing packages
- Providing general administrative support including but not limited to: Word, basic Production and lite Excel, reception management, mail, copying, faxing, agenda management
- Organizing and maintaining electronic and/or hard copy filing systems for timesheets and expense reports
- Coordinating mail services, including receiving, sorting, distributing mail and faxes, and preparing daily packages as requested
- Anticipating and coordinating

- point travel needs for senior leadership, including directions, commuting time and ground transportation, passport and visa processing - Coordinating

- point domestic and international travel needs of the team (car, flight, hotel) - Supporting GSB teams, internal committees, and practice area activities and information requests
- Maintaining high levels of internal and external confidentiality and guiding leadership on effective time use
- Looping in all relevant parties as needed and developing a support network to leverage information flow and scheduling
- Providing support in conference room scheduling and guest office space assignment
- Organizing and managing major meetings for team leads (often with collaboration from other team members)
- Creating proposals, letters, slide decks, memoranda, client invoices, etc.
- Maintaining the upkeep and appearance of the general office space; providing
- up support to the office services team as needed - Performing other duties (including office services) as assigned
What You’ll Bring
- Bachelor’s degree or equivalent relevant experience
- 2-4+ years’ experience supporting a senior executive, preferably at a professional services firm
- Proficient computer skills: Outlook, Word, Excel, and Power

Who You’ll Work With
You will report to the Administrative Services Manager and work closely with Executive Support Services Leadership to support the assigned team.
