What You Will Do
In this vital role you will be responsible for day‑to‑day administrative support to Amgen. This includes training coordination and logistics, travel bookings/planning and IT housekeeping. You will also provide a helpdesk service to answer and direct general incoming queries to the ACCP and provide an efficient, comprehensive and confidential administrative support service.
Responsibilities will include:
- Answering general incoming queries to the ACCP
- Processing purchase requisitions
- Setting up vendors
- Addressing queries related to travel and expenses
- Supporting travel bookings (hotels/flights/trains/rentals) including availability checks, bookings and reminders
- Supporting expenses report creation, population and reporting
- Coordinating mailings and courier/deliveries
- Maintaining and updating profiles (Amex/Passport info/Frequent Traveller cards/subscriptions)
- Managing distribution lists—setup, maintenance and membership access
- Setting up MS Teams/Share
Point and supporting new joiners/leavers aligning with HR - Managing calendar/diary including vacations, appointments and travel blocks
- Preparing agendas, taking and completing meeting minutes; coordinating distribution and following up on action items
- Liaising with candidates and interviewers to check availability, send out invites and create interview schedules
- Recognizing and escalating problems or risks as needed in line with business requirements
- Adapting, supporting and contributing to the growth and continuous improvement of the department and ACCP
What We Expect Of You

We seek an experienced professional with strong presentation and data compilation skills, good at following processes and procedures, understanding how to collaborate and work in a large team, and focused on project delivery.
Proven experience and skills needed:
- Associate’s degree & 2 years of directly related experience or High school diploma/GED & 4 years of directly related experience.
- Fluency in English and German, both written and oral.
Preferred Requirements:
- 1+ years of experience in an administrative support role supporting large teams at different levels.
- Experience handling calls.
- Proficient using MS Office and Cisco Webex tools.
- Experience in similar or related discipline.
