Groups and Events Coordinator

We are currently looking for a new Groups and Events Coordinator, to strengthen our team!
Mission:
Working within the Sales Team, this position has responsibility for responding to all Group, Catering & Events enquiries and reacting to Sales leads to maximize revenue and utilization of meeting space, working to ensure, at a minimum, delivery of budgeted revenues.
The Groups & Events Coordinator will manage and convert all business, including contracting, in addition to managing group room and function diary inventory. The position also carries the responsibility of
- managed account business management and 20 calls a month to generate leads and maintain relationships will be required. This person must demonstrate high energy levels and provide consistently high levels of customer service.
Job Summary:
- Manages the sales efforts for the properties including international groups, local corporate and catering;
- Responds to incoming group and catering opportunities for the hotels. Identifies, qualifies and solicits new catering business to achieve personal and properties revenue goals;
- Understands the overall market (e. g. , competitors’ strengths and weaknesses, economic trends, supply and demand etc. ) and knows how to sell against them;
- Closes the best opportunities for the properties based on market conditions and property’s needs;
- Uses negotiating skills and creative selling abilities to close on business and negotiate contracts;
- Works with the management team to create and implement a catering sales plan addressing revenue, customers and market;
- Designs, develops and sells creative catered events;
- Maximizes revenue by
- selling packages and creative food and beverage; - Assists with selling, implementation and
- through of groups & catering promotions; - Executes and supports the operational aspects of business booked (e. g. , generating proposal, writing contract, customer correspondence);
- Verifies that the properties implement a seamless turnover from sales to operations and back to sales while consistently delivering high level of service;
- Monitors successful performance by increasing revenues, controlling expenses and providing a return on investment for the owner;
- Contracts and closes business and confirms that business is turned over properly and in a timely fashion for quality service delivery;
- Achieves groups & catering revenue goals by actively up selling each business opportunity to maximize revenue;
- Ensure definite bookings are regularly followed up to secure accurate numbers as far in advance as possible but no later than 5 days prior to arrival;
- After event, ensure liaison with billing
- ordinator to update Opera system on actualized revenue; - Ensure proficient in using all enquiry process tools, including but not limited to Cvent, One

Requirements:
- Strong interpersonal skills;
- Attention to detail, organization, sense of responsibility and rigor;
- High energy levels and high levels of customer service;
- Excellent communication skills;
- Opera knowdlege.
Education/Professional Experience:
- University Degree in Hotel management, Tourism or any related fields;
- 1-3 years in previous experience in the function.
Linguistic Knowledge:
Excellent communication skills in English and Portuguese (written and spoken).
