HR administrative officer
Overview
Shape our new HR Back Office in Lisbon! Our Lisbon office has just opened on September 1st, and we are building our teams from scratch. Our Administrative Back Office Manager has joined and is recruiting two HR Back Office Administrators to support her in creating the HR function locally.
? The team
You will join a team of 7 people: the manager, 2 HR administrative officers, 2 Finance administrative officers and 2 Procurement administrative officers. In 2026 the team will grow to 9 people.
Your Responsibilities
- HR administration: managing contracts, amendments, and mandatory documents; handling administrative tasks such as absences, sick leaves, and other employee records.
- Recruitment support: assisting with the recruitment process (job offers, contracts, interview scheduling, candidate
- up). - Operational HR support: ensuring accurate data and compliance in HR systems, monitoring absences, and updating employee files.
- Communication: acting as a point of contact for employees and managers, answering HR-related questions, and supporting HR Business Partners in Switzerland.
- Reporting & analytics: preparing reports, monitoring HR data, and providing dashboards for management.
- Process improvement: contributing to HR projects, transversal initiatives, and continuous improvement.

Your core competencies
- Team player
- Detail-oriented
- Background in administration or HR
- Strong internal client orientation
- Interest in digital tools, knowledge of MS Office
- Proficient in French, Portuguese and English

About the recruitment process
- Initial discussion with HR consultant
- Meeting with the manager if we decide to proceed
- Interview with our Deputy HR Director if continuing
- Final HR interview with a test on motivational levers (PULSIONS) if you progress
