Job Purpose
The HR/Office Assistant ensures the smooth daily operation of the office while supporting HR processes to maintain an efficient, compliant, and
- focused work environment. This role oversees office administration, facilities coordination, vendor management, and provides hands‑on support in onboarding, off‑boarding, employee records management, and HR operations.
Responsibilities
Office Management
- Manage office supplies, inventory, procurement, and vendor relationships.
- Coordinate facility maintenance, office layout, and equipment management.
- Implement and optimise office policies, procedures, and workflows.
- Oversee meeting room scheduling, company events, travel arrangements, and general office logistics.
- Act as the primary point of contact for external service providers, contractors, and building management.
- Handle administrative tasks including mail distribution, document filing, and general correspondence.
- Support management with the preparation of reports, presentations, and internal communications.
- Request IT materials and equipment as needed to support office operations.
HR Support
- Coordinate onboarding and offboarding processes, including documentation, equipment allocation, and system access setup.
- Maintain employee records, contracts, and HR databases in compliance with legal and company requirements.
- Support payroll preparation by collecting and verifying attendance records, leave forms, and employee data changes.
- Serve as a point of contact for employee queries regarding HR-related matters.
- Request IT to prepare the necessary equipment for new hires and ensure they have all required tools on their first day.
Requirements
- Proven experience in office management, administration, HR support, or a similar role.
- Excellent communication and presentation skills; proficiency in English required.
- Strong organisational and multitasking abilities with excellent attention to detail.
- Basic understanding of office operations, facilities coordination, and procurement processes.
- Good knowledge of HR procedures, employee record management, and compliance requirements.
- Proficiency with MS Office tools and familiarity with HRIS or administrative systems.
- Strong communication and interpersonal skills, with the ability to work across teams and with external partners.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Problem-solving mindset with the ability to work independently and proactively.
