Position Purpose:
Coordinate the coffee import and
- export processes, manage shipment documents, send instructions to warehouses, and coordinate operational tasks to ensure smooth deliveries to clients. Maintain excellent customer service by keeping clients informed throughout all stages of their deliveries.
Responsibilities
Primary duties include:
- Inform clients about shipment and delivery status of their coffee orders.
- Coordinate import processes with European coffee warehouses to ensure product availability for clients.
- Manage
- export processes from European ports to other countries outside the European Union. - Provide excellent customer service by coordinating coffee deliveries and updating clients throughout contract execution.
- Coordinate warehouse arrivals within free time to avoid demurrage/detention charges and ensure early availability of coffee for clients.
- Send samples to clients upon trader requests and maintain an updated sample tracking file.
- Arrange for warehouse to send arrival samples to clients as per requirements and follow up on approvals for deliveries.
- Issue proforma and final invoices within contractual periods once samples are approved.
- Follow up on payments with clients under “DO VS CASH” terms for final release.
- Coordinate with Accounting to issue final invoices once payments are received, enabling final release.
- Issue EUDR and RFA documents to clients when required by the contract.
- Keep Fintrade updated with arrival, inventory, and delivery information.
- Archive delivery documents in shared folders per release.
Qualifications
To qualify for this role, you will need:
- A degree in Administration, International Commerce, or related fields.
- At least 2 years of relevant work experience.
- Result-oriented and resilient, with the ability to excel in a
- paced environment. - Strong prioritization skills to ensure timely task completion.
- Analytical skills and attention to detail.
- Proficiency in Microsoft Excel and computer skills.
- Excellent interpersonal and communication skills.
- Customer service orientation.
- Fluent in English, both written and verbal; additional languages are a plus.
- Organized,
- oriented, and accurate. - A team player in a multicultural environment.
