- day operations of the office and create a pleasant, efficient, and welcoming work environment for all team members.
Responsibilities
- Onboarding & Offboarding - Prepare and coordinate onboarding and offboarding processes; Ensure a smooth arrival for newcomers (equipment, welcome pack, setup); Support internal teams during employee transitions.
- Office Operations & Logistics - Manage business travel bookings (transport and accommodation); Handle office supplies, equipment, and employee requests; Liaise with vendors and service providers (hotels, office equipment, etc. ); Ensure a functional and pleasant office environment (snacks, drinks, coffee…).
- Budget & Cost Control - Support with monthly budget tracking and reporting; Monitor suppliers and participate in cost optimization initiatives.
- Real Estate & Office Capacity - Monitor office space needs and capacity planning; Contribute to workspace improvements and supplier negotiations.
- Processes & Improvements - Maintain documentation of office processes; Propose and implement improvements for operational efficiency.
What we are looking for
- Fluent in Portuguese, with full professional proficiency in English
- Strong communication skills, with the ability to clearly share information across multicultural and international teams
- A natural
- solver, able to stay calm in urgent situations and make sound decisions quickly - High level of flexibility and agility, with the ability to easily switch between tasks and priorities
- Solid negotiation and conflict resolution skills
- Strong sense of autonomy, able to take ownership and make decisions independently
- Excellent organizational skills, with attention to detail and the ability to manage a high volume of information over time
- A true team player, enthusiastic and collaborative, with a positive attitude
