Office Manager
About The Epic Talent Society
At The Epic Talent Society, we don’t just run trainings or events — we craft transformational experiences that inspire people, unlock talent, and accelerate change.
To make this magic happen every day, we need someone special at the center of everything: a person who ensures that our space, our rhythm, and our team energy always flows.
Role Overview
We are now looking for an Office Manager to join our team: someone who ensures operations run smoothly, maintains a joyful and organized workspace, and supports the implementation of meaningful experiences — both internally and with clients.
This is not “just” an office role - It’s about being the glue of our team: organizing our operations, supporting logistics for client events, handling invoicing and collections, making the office feel inspiring, and sometimes even being “the ears in the room” — helping us capture learnings, celebrate wins, and keep our culture alive.
If you love making things work smoothly, enjoy coordinating people and tasks, and get energy from helping others shine — this role is for you.
This is not a traditional “administration desk” role. As our Office Manager, you’ll be the operational and cultural backbone of our team — balancing administration, finance processes, logistics coordination, office atmosphere, and team rituals.
Some days you'll be managing invoicing and supplier contracts. Other days you'll be preparing logistics for client events, creating the setup for an internal happy hour, sourcing goodies, or capturing learnings from workshops to help the team reflect and grow.
This role is for someone who is organized, proactive, curious, and energized by making things flow.
What You’ll Do
• Manage administrative and financial operations (contracts, suppliers, purchasing, invoicing and payments, monthly closings, always in close collaboration with external accountants)
• Support the preparation and logistics of workshops, events, and corporate programs
• Communicate professionally with partners and clients — in Portuguese and English
• Ensure the office runs smoothly, with the right energy, materials, and ambiance
• Coordinate calendars, internal processes, and task
- up
• Collaborate on continuous improvement of our operational systems and workflows
• Hold space for team rituals, celebrations, and cultural moments
Who You Are
• Degree in Management, Administration, Accounting or similar (or equivalent experience)
• Previous experience in administrative, financial, or office management roles
• Fluency in English (spoken and written) — we work with international clients
• Excellent organizational skills, rigor, autonomy, and reliability
• Curious, proactive, creative, and always ready to learn
• Collaborative spirit, positive energy, and a sense of humor
• Comfortable with the Apple ecosystem (Keynote, Pages, etc. ) — or happy to learn
What We Offer
• An entrepreneurial and inspiring environment with curious and passionate people
• Space to learn, create, experiment, and grow
• Hybrid work (Lisbon-based)
• A role where your work directly shapes our culture and client experiences
• The chance to help build the future of talent, leadership, and transformation
