Role Purpose
We are seeking a highly organized,
- oriented, and proactive Office Manager to join our Administration & Finance team in Lisbon. This position is responsible for managing revenue recognition activities, coordinating with team directors, overseeing time tracking, and efficient administrative support across the agency.
The role also ensures compliance with So
X regulations, manages client and public sector contracts, supports public tender processes, and provides essential insights into revenue, budgets, jobs, and invoicing. In addition, the Office Manager will handle all administrative and office management duties, ensuring the Agency operates efficiently and in compliance with internal and external requirements.

Key Responsibilities
Financial & Revenue Management
- Lead all revenue recognition activities in collaboration with team directors.
- Manage time tracking processes to ensure accurate reporting and billing (in Maconomy program).
- Oversee month-end closing in partnership with the CFO and finance team.
- Ensure compliance with So
X regulations and internal policies. - Provide financial insights on revenue, budgets, jobs, and invoicing to support
- making.
Contracts & Compliance
- Manage and support the preparation, review, and administration of client contracts , public sector contracts , and public tenders .
- Liaise with legal and procurement teams to ensure contractual compliance.
Administrative & Office Management
- Act as the primary administrative support for the CFO, including scheduling, correspondence, and meeting preparation.
- Handle all office administration tasks to ensure smooth daily operations.
- Maintain accurate and organized documentation for audits and internal reviews.
- Coordinate with internal teams and external partners to facilitate operational efficiency.
Requirements
Education & Experience
- Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
- Minimum 2–3 years of experience in finance administration, office management, or executive assistant roles, preferably in a multinational or agency environment.
Skills & Competencies
- Strong understanding of financial processes , revenue recognition, and compliance frameworks.
- Excellent organizational and multitasking skills with a high attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Power
Point). - Strong interpersonal and communication skills, with the ability to work
- functionally. - Fluency in Portuguese and English (written and spoken) is required.
