Responsibilities: Office Maintenance and Organization: Ensure the office is
- stocked, orderly, and properly maintained by managing supplies, equipment, and facilities. Maintain cleanliness and organization in shared spaces and coordinate with cleaning services as needed. Event and Meeting Support: Provide logistical assistance for office events, meetings, and training sessions, including setup and cleanup. Organize meeting rooms and manage lunch, catering arrangements, and breakfast provisions for meetings and events, ensuring timely and professional delivery. Visitor Reception: Serve as the first point of contact for visitors, creating a welcoming and professional experience. Vendor Coordination: Collaborate with vendors and service providers to address
- related needs, such as maintenance, supply orders, and equipment servicing. Onboarding Support: Facilitate onboarding processes for new employees, including managing agendas, booking rooms, contacting new joiners, and preparing onboarding kits to ensure a smooth integration experience. Building Management Collaboration: Act as the primary point of contact with building management to address operational needs, including maintenance requests. Will be our point of contact for WEWork and Facilities team. Communication strategy support: Support communications strategy at the center and partner with internal team to ensure effective communication Manage and maintain our Collaboration tools, share points: Act as key point of contact and primary owner for the collaboration tools used in the center. Policy Implementation and Compliance: Work alongside the HBBP and the Safety and Health Environment team to enforce workplace policies and procedures. This includes: Supporting the implementation of safety protocols and health guidelines across the office. Collaborating on risk assessments and emergency preparedness plans to ensure a safe and compliant work environment. Required Education, Experience, and Skills Qualifications, Skills & Experience Education & Experience: Minimun High School Diploma or Professional Studies. Bachelor’s degree is a plus Fluency in English (Valued: Other languages also) 2 to 3 years of relevant experience in a similar position preferably in a Shared Service Centre environment or mulinational company Confident handling of Excel functionalities (pivot tables, basic formulas, graphs), MS Teams, MS Project, or similar tools. Good understanding and practical knowledge of core Finance processes. Valued ERP experience (SAP S/4 HANA preferred) Required Abilities: Excellent
