Operations Associate (Part-Time)
We’re looking for a
- oriented and versatile Operations Associate (part-time) to support our team across multiple operational areas. In this
- time role, you’ll ensure the smooth
-
- day functioning of our workspace while handling a wide range of administrative, legal, and logistical tasks. From office upkeep and asset tracking to assisting with internal logistics matters, you'll be a key part of making sure everything behind the scenes runs efficiently and compliantly.
Working hours are from 1:00 PM to 5:00 PM, Monday to Friday (We can be flexible about it! :D)
Here is what you will do:
- Office Management
- Maintain a
- friendly office environment; - Ensure food, drinks, and stationery supplies are consistently stocked;
- Oversee regular cleaning and general workspace upkeep;
- Monitor and uphold health and safety standards and follow up on inspection recommendations;
- Monitor shared
- mail inboxes and forward emails to appropriate teams; - Manage physical assets: Register and track allocation of company assets and support onboarding/offboarding processes.
- Maintain a
- Legal Administration
- Manage NDAs and agreements using Docu
Sign; - Support ad hoc legal admin tasks.
- Manage NDAs and agreements using Docu
- Insurance
- Oversee corporate insurance matters in collaboration with our broker.
- Logistics & Procurement
- Coordinate approved purchases in collaboration with the C-Suite and line managers;
- Support the HR team in planning team events and activities;
- Arrange transportation for staff and equipment as needed;
- Assess and manage supplier relationships.
- Project Support
- Provide administrative support for different projects, such as event and exhibition logistics, including booking travel and materials;
- Prepare and distribute monthly timesheet documents, track signatures and notify stakeholders.
- Proven experience in an administrative, office coordination, or support role;
- Strong organizational skills with the ability to manage multiple tasks and priorities independently;
- Excellent communication, negotiation and
- building skills; - Comfortable using office software (e. g. , Microsoft Office) and communication tools (e. g. , Teams);
- Ability to coordinate logistics remotely (e. g. , shipping equipment, arranging travel);
- Familiarity with booking platforms, courier services, and basic supplier management;
- A proactive,
- do attitude and a
- solving mindset; - Comfortable collaborating with remote teams and external vendors;
- Attention to detail and commitment to keeping things running smoothly behind the scenes.
