Order Fulfillment Representative (M/W)
Job Description
Within VANTIVA EMEA/APAC customer unit, the Order Fulfillment Representative will be responsible for:
Customer Service
- Receive customer POs, ensure they are acceptable with stakeholders (Demand Planning, Finance, etc. ), and take necessary actions to modify them if needed.
- Act as the interface between Production Planning teams in Asia to manage production confirmations and align with customer orders.
- Optimize and coordinate shipments from Asia to warehouses or directly to customers, by sea or air, based on customer needs or business requirements (sales, RBC, etc. ).
- Coordinate and communicate regularly with suppliers, customer warehouses, and customers when necessary.
- Follow up on customer orders from receipt to final delivery of goods.
- Prepare documentation required for customers and Customs when relevant.
- Send invoices via email or upload them to customer portals.
- Provide weekly detailed delivery plans to Sales, Business Ops, and CDM, including explanations of constraints or issues.
- Participate in weekly calls with Sales, RBC, and sometimes customers to discuss delivery plans.
- Ensure data accuracy of invoicing information in Kinaxis for weekly management reporting.
- Collaborate internally with Sales, Business Operations, Demand Planning, Supply Planning in Asia, Finance, Logistics, IT SAP, and Kinaxis teams; externally with warehouses, customers, forwarders, and customs brokers.
Logistics
- Issue shipping instructions based on product/container and shipping mode.
- Monitor booking confirmations with suppliers and forwarders to ensure timely shipment and delivery.
- Track containers from port of departure to final destination.
- Attend weekly calls with warehouses and forwarders.
- Manage delivery of goods to customers, coordinating with warehouses and forwarders for direct shipments.
- Handle claims related to shipments.
IT Skills
- Proficiency with KINAXIS, SAP, and Power BI.
Qualifications
- Supply Chain Master's degree.
- 4-5 years of experience in a similar role within an international environment.
- Strong knowledge of customer service, logistics, import/export flows, and Incoterms.
- Autonomous, with a strong team spirit.
- Excellent communication and relationship skills.
- Fluent in English; French is highly appreciated.
- Good knowledge of Excel and SAP; experience with KINAXIS is a plus.
