People & Culture Officer
Job Purpose
People & Culture Officer supports the
-
- day HR and administrative
functions at The Lisboan in a
- time
- site capacity. This includes maintaining
employee records, assisting with recruitment and onboarding, supporting payroll and
HR policies, procedures and legal requirements related to local labour laws and
school policies. The role contributes to a smooth and professional HR service for all
staff. As the first point of contact for staff, parents, and visitors, the officer ensures a
welcoming, organised, and efficient school environment.
Duties and Responsibilities
HR Administration:
- Assist with recruitment, onboarding, and induction of new staff.
- Maintain accurate employee records and documentation.
- Prepare employment contracts, offer letters, and official documents.
- Support payroll inputs, absence tracking, and basic reporting.
- Respond to staff queries on HR procedures and policies.
- Coordinate with external partners for visa/work permit processes (if
applicable).
Recruitment & Onboarding
- Post job openings and help manage applications and the selection process.
- Schedule interviews and coordinate candidate communications.
- Support onboarding processes and prepare welcome materials for new hires.
- Have a pipeline of possible available roles during the school year
Payroll & Compliance
- Collect and organize timesheets, leave records, and payroll inputs.
- Help ensure compliance with local employment regulations and internal
policies.
- Support the Head of HR in preparing reports or summaries as needed.
Staff and Administrative Support
- Respond to routine HR-related queries from employees.
- Guide staff on basic HR procedures such as leave requests or policy questions.
- Maintain confidentiality and professionalism in all interactions.
- Prepare staff certificates, reports, letters, and other official documents.
- Track attendance, leave records, and general HR-related data.
- Provide general administrative support across departments as required.
Front of House / Reception
- Greet and assist visitors, staff, and students in a professional manner.
- Manage incoming calls, emails, and enquiries.
- Maintain visitor logs and ensure safeguarding procedures are followed.
- Support the Admissions Team with school tours and first impressions.
Qualifications
- Diploma or degree in Human Resources, Business Administration, or related
field
- 3-6 years of experience in an HR or/and administrative role
- Strong organisational skills and attention to detail
- Excellent communication and interpersonal skills
- Comfortable with Microsoft Office and HR systems
Appreciated
- Experience in the international education and international organisations
- Familiarity with Portuguese employment law
- Fluent in English and Portuguese
