POSITION SUMMARY:
This role will have as its main responsibility to ensure the administrative component of human resources.
DUTIES & RESPONSIBILITIES:
- Maintain and update employee records in the HRIS, including contracts, personal data, absences, and holidays.
- Handle contractual processes such as drafting contracts, amendments, renewals, and legal communications.
- Manage IEFP internship procedures, including application
- up, documentation preparation, and HRIS updates. - Coordinate onboarding and offboarding processes, covering
- boarding, onboarding logistics, and exit procedures. - Manage employee absences, holidays, medical leaves, and parental leaves.
- Liaise with accounting and payroll teams to share salary and administrative data.
- Review the monthly payroll files and make sure all supporting documentation is available for checking.
- Prepare and check recalculated payrolls and ensure the information is sent to the Finance department for reconciliation.
- Monitor and ensure compliance with legal deadlines such as contract renewals and mandatory notifications.
- Provide logistical support for training activities, including scheduling, invitations, and attendance tracking.
- Maintain and archive training records in the HRIS and support the collection of training needs.
- Assist with recording both internal and external training sessions.
- Support data migration processes related to HRIS updates.
- Help with internal surveys and organizational climate reporting.

SKILLS & COMPETENCIES:
- Degree in human resources, management, accounting, or other related fields;
- Minimum 5 years of experience in administrative HR roles;
- Solid understanding of HRIS platforms (Factorial knowledge is a plus);
- Strong organizational skills, attention to detail, and ability to manage multiple priorities;
- Good knowledge of Portuguese labor law and HR administrative procedures is a plus;
- Proactive mindset and strong team spirit;
- Verbal and written communication skills in English (minimum B1 level);
- High level of discretion and confidentiality in handling sensitive information;
- Strong interpersonal skills and ability to work collaboratively across departments.
