About the Role Real
EZ and Uniqon are two closely connected companies operating as part of a growing real estate group in Portugal, active in property management, development, and investment projects.
We are seeking a highly capable,
- oriented, and trustworthy Personal Assistant to the CEO & Office Manager to support the CEO across both companies and to serve as a key operational and administrative anchor for the group.
This is a

- responsibility role combining executive assistance, project tracking, financial administration, and office management. The role requires full availability , strong ownership, and the ability to manage multiple priorities in a
- paced real estate environment.
Key Responsibilities Executive & Operational Support Provide daily, direct support to the CEO across Real
EZ and Uniqon , including calendar management, task prioritization,
- ups, and execution tracking.
Act as a central coordination point between the CEO, internal teams, partners, and external stakeholders.
Prepare management reports, summaries, presentations, and internal documentation.
Ensure implementation and
- through of management decisions across both companies.
Project Monitoring & Reporting Track real estate projects across different stages (planning, licensing, construction, sales, and operations).
Maintain
-
- date project timelines, dashboards, and status reports.
Collect, organize, and consolidate data from internal teams and external service providers.
Support administrative and regulatory documentation related to projects.
Financial Administration & Accounting Coordination Manage ongoing financial administration for both companies, including invoices, payments, expense tracking, and basic
- flow monitoring.
Work closely with the local accountant (CPA) on bookkeeping, reporting, and compliance.
Coordinate with banks, legal advisors, notaries, and other professional service providers.
Support preparation of financial and management reports.
Office & Vendor Management Oversee

- day operations of the Porto office serving both Real
EZ and Uniqon.
Manage relationships with suppliers, service providers, and contractors.
Handle procurement, contracts, and office logistics.
Support onboarding and coordination of team members and external collaborators.
Requirements Proven experience as a Personal Assistant, Executive Assistant, Office Manager, or similar role — preferably in real estate, finance, or professional services .
Full professional fluency in both English and Portuguese – mandatory.
Strong organizational, analytical, and
- up skills.
High level of discretion, reliability, and confidentiality.
Ability to manage multiple projects simultaneously and work under pressure.
Strong proficiency with Microsoft Office / Google Workspace; financial or reporting tools are an advantage.
Full availability and high responsiveness required.
