Job Title: Recruitment & Compliance Assistant
Location: Remote (Portugal) – Teletrabalho, with occasional attendance at our Lisbon office
Department: People / Operations Support
Reporting to: Head of Recruitment Manager (UK)
Hours: Full-time (35 hours per week) (Monday to Friday)
We are looking for a proactive Recruitment & Compliance Assistant to support
- volume hiring and workforce compliance.
Based in Portugal, you'll work mainly remotely (teletrabalho) and occasionally attend our Lisbon office for open days, training coordination, document collection, or internal meetings.
You will keep our recruitment pipeline moving quickly;
calling candidates, replying to emails/messages/Whats
App, booking open days and classroom training—and ensure every worker is compliant before starting work (Right to Work, Right to Drive, and document checks).
High-volume recruitment coordination
- High-volume outbound calls to screen, engage, and progress candidates.
- Book candidates into open days and manage confirmations and attendance
- ups. - Schedule classroom training and onboarding;
manage reminders and
- bookings. - Maintain accurate candidate records and statuses in the ATS/tracking system.
- Provide daily/weekly pipeline updates (calls, bookings, show rates, starts, blockers).

App promptly and professionally. - Answer candidate questions about next steps, training dates, documents required, and start processes.
- Manage shared inboxes and message groups using clear templates and consistent communication.

- Collect, validate, and store required documents (ID, proof of address, licences, insurance where applicable, etc. ).
- Ensure onboarding checklists are completed in a paperless environment.
- Chase missing documentation and unblock candidates quickly.
- Monitor workforce compliance, including:
- Right to Work validity and expiry
- ups - Right to Drive checks (licence validity/expiry and required evidence)
- Maintain
- ready compliance trackers and documentation. - Escalate
- compliance risks to HR/Operations with recommended actions.
- Liaise with Operations Managers and internal stakeholders to confirm vacancies, start targets, and priority roles/sites.
- Provide regular updates on vacancy status, pipeline health, expected starts, and risks.
- Coordinate start dates and deployment plans with Ops to meet service needs.
- Attend the Lisbon office when required to support open days, training sessions, document checks, or internal meetings.
Requirements
- Experience in
- volume recruitment, recruitment coordination, HR admin, or operations support. - Fluent in English and Portuguese (spoken and written).
- Confident communicator across phone, email, and Whats
App;
comfortable handling high message volume. - Strong organisational skills and attention to detail;
able to manage multiplecandidates and deadlines. - Comfortable using Excel/Google Sheets, cloud storage, and ATS/CRM systems.
- Proactive, calm under pressure, and reliable with
- through. - Based in Portugal and able to attend our Lisbon office occasionally.
- Stable internet connection and a professional remote setup.
- Experience recruiting drivers/riders or operational roles.
- Familiarity with Right to Work / Right to Drive checks.
