Position: Senior Assistant Global Operations
Location: Lisboa, Lisboa, Portugal
Role Overview
Support a Senior Vice President by providing administrative and operational support that enhances efficiency for the organization. This position serves as a vital link between the SVP and various stakeholders, facilitating communication and administration. The role is multifaceted and involves various key responsibilities.
Key Responsibilities
- Administrative Support: Manage schedules, organize meetings, submit expenses, and handle correspondence.
- Communication Management: Act as a point of contact between the vice president and internal/external stakeholders, ensuring effective communication and information flow.
- Meeting Coordination: Plan, coordinate, and organize meetings, including preparing agendas, taking minutes, and following up on action items.
- Project Management: Assist in planning and executing small projects, ensuring timelines and objectives are met, and provide updates to the vice president, including budget and other relevant initiatives.
- Data Management: Compile, organize, and archive data, reports, and presentations; ensure information accuracy and accessibility; manage meeting minutes and transform notes into professional presentations.
- Travel Arrangements: Coordinate travel logistics, including flights, accommodations, and itineraries.
- Stakeholder Engagement: Liaise with departments, teams, and external partners to facilitate collaboration and support initiatives.
- Event Planning: Organize and coordinate events, workshops, or conferences attended by the vice president, ensuring all logistics are handled smoothly.
Qualifications
- 5-10 years’ experience in a comparable position.
- College degree or above.
- Fluent in English; excellent communication skills.
- Trustworthy with sensitive and confidential information.
- Good communication and interpersonal skills.
- Ability to act as Project Manager and team player, taking initiative.
- Discretion, dedication, loyalty, and flexibility.
- Strong support orientation to superiors and teams.
