Role summary: The Senior Invoice Processing Supervisor is responsible for supervising the team that handles receiving and capturing invoices and payment requests (advance payment memos), matching invoices with PO and validating invoices without PO.

Responsibilities

• Leadership And Development
• Supervise 11 invoice processing officers: organize
  -
  - day work, manage objectives, holidays, hiring and performance evaluation
• Provide support to the Account Payable Lead in achieving team objectives and foster a positive, collaborative team environment
• Support training, accuracy, and timely delivery of outputs
• Take initiative to solve problems or inefficiencies and propose improvement ideas
• Collaborate with the AP network to implement improvements to the AP process
• Bring a process improvement focus and support
  - practice implementation
• Engage with process owners and stakeholders to identify opportunities to drive efficiencies through continuous improvement
• Serve as a liaison between staff and upper management
• Supervise, motivate, and support team members to achieve departmental objectives
• Maintain complete and accurate standard operating procedures and related internal control documentation

• Operational Responsibilities
• Operate independently to ensure invoices are processed accurately and timely, including credit notes, debit notes, advance payment invoices, and invoices without PO
• Identify policy exceptions and coordinate with relevant stakeholders as required
• Ensure 3-way match of PO, GRN and invoices and observe other business rules
• Resolve exceptions to business rules and seek clarifications or add payment blocks where needed
• Provide daily interaction, training, direction and oversight of staff activities to ensure coordination, accuracy and timely delivery

• Performance & Efficiency
• Implement validation checks to enhance invoicing accuracy
• Utilize invoice processing systems efficiently (SAP S/4 Hana & Ivalua) and optimize features to boost productivity
• Ensure KPIs are achieved to manage the operation effectively
• Maintain complete and accurate SOPs and internal control documentation

Knowledge and Experience

• Total relevant experience of minimum 6 to 8 years
• One previous managerial experience of at least 1 year
• Knowledge of SAP S4 HANA – ERP
• Knowledge in VIM – vendor invoice management – preferable but not compulsory
• Problem solving and critical thinking
• Strong communication and analytical skills
• Delivery efficiencies, compliance, and control through standardization
