Shared Services HR Specialist
Job Description
We are seeking a
- oriented and
- focused HR Specialist to join our HR Employee Services team in Lisbon. In this role you will be responsible for providing support to employees on a wide range of HR-related topics, collaborating with other HR teams, and contributing to a positive employee experience through consistent and effective service delivery.
Responsibilities
- Employee Lifecycle Support: Process employee lifecycle changes such as onboarding, job changes, and terminations in line with established procedures and service levels.
- HR Systems & Data Integrity: Maintain accurate records of employee interactions and resolutions in the HR service platform ensuring compliance, and alignment with global HR policies.
- Employee Inquiries & Case Management: Support internal employees on HR policies, procedures, and general inquiries through the HR case management system.
- Ensure timely and accurate handling of employee requests in accordance with internal standards and service levels.
- Coach & train new team members by sharing knowledge, best practices, and acting as a resource for HR procedures.
- Assist in reviewing, maintaining, and updating standard operating procedures (SOPs) and internal documentation to ensure accuracy and relevance.
- Compliance & Documentation: Ensure adherence to European labor laws, company policies, and data protection regulations (e. g. , GDPR), while maintaining accurate documentation. Supports internal and external audits and is responsible for
- based filings. - Continuous Improvement & Process Optimization: Identify inefficiencies in HR service delivery, propose solutions, and support the implementation of process enhancements and automation initiatives.
- Collaboration with HR Stakeholders: Work closely with other HR teams such as HR Business Partners, Co
Es, and external vendors to ensure alignment and consistency in employee services across multiple countries.
Required Education, Experience, And Skills
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 2-3 years of experience in HR operations, HR shared services, or HR generalist.
- Experience working in a multinational environment, supporting multiple countries.
- Experience with HR systems (e. g. , Workday, Service
Now) is a plus. - Strong
- solving skills with the ability to handle multiple tasks and priorities. - Excellent communication and interpersonal skills, with the ability to engage with employees at all levels.
- Has a customer service mindset.
- Ability to handle sensitive information with discretion and professionalism.
- Fluent in English; additional languages like Czech or Polish are highly desirable.
