Supervisor, Facilities & EA, Media FTC
OBJECTIVES
The Facilities Services Supervisor & Executive Assistant is responsible for managing facilities at Lisbon and supporting the local Country Manager during temporary absences.
Responsibilities
Facilities & Services:
- Maintain facilities organized according to best practices and company policies.
- Plan and execute activities to ensure prompt placement of orders for materials, supplies, equipment, and all requirements in the required quantities, when and where needed.
- Coordinate post mail, manage purchase orders (POs) and invoices in the system.
- Coordinate administrative tasks related to:
- Management of carpooling and relationships with external providers.
- Reception and telephone services.
- Cleaning activities management.
- Parking management.
- Work directly with the Portugal Country Manager, managing the agenda, keeping him updated on approvals and requirements.
- Maintain confidentiality at all times.
- Organize Town Hall meetings and support employee events when needed.
- Organize, attend, and record minutes of executive meetings; arrange internal and external meetings; make travel arrangements; submit travel & expenses reports.
- Serve as the contact person for visiting executives, assisting during their stay in Portugal.
- Minimum 4 years of experience in executive assistance, facilities management, and services.
- Strong
- solving and analytical skills. - Experience with SAP and Microsoft Office.
- University degree, preferably in Business or Finance.
- Knowledge of health & safety standards.
- Languages: Native Portuguese; fluent in English (written and spoken).
Ensure health & safety plans and relationships with external providers, working to ensure compliance with health, safety, & environment standards.
Stay informed about market trends and conditions affecting suppliers, costs, and pricing to assess impact on clients.
Research the best service providers through benchmarking and analysis; maintain close contact with specific suppliers to maximize service quality and price in the company's interest.
Support Portugal's Crisis Management program.
Provide support to all departments as required.
