This role is located in one of our Convatec Business Services centers in Lisbon and has been established to provide Workforce Administration and Payroll Services to the Convatec enterprise through a global team of delivery experts.
Through our ticket management system, employees, HR, and Finance can raise queries or requests to the Service Delivery Team. The primary function of a Workforce Administration Analyst is to review and address queries and requests promptly, which requires advanced knowledge of systems and an awareness of transactional and process workflows from beginning to end.
Providing thorough responses to customers that may be global in scope, as well as supplementary information unique to the issue. Create a knowledge foundation and a continual improvement mindset across all stakeholders in the process. By answering these questions, we retain employee trust, which is an important component of employee engagement. Through root cause research, we ensure that future queries and requests are addressed proactively. The accurate routing of queries and requests is critical in conducting RCA and addressing any transactional anomalies, while also ensuring compliance through collaboration with the stakeholders.
Key Duties And Responsibilities
- Act as the “Country Expert”, handling tier 2 tickets, Workday inbox task management,

- driven queries, and elevations from WFA Assistance & Associates regarding Employee Life Cycle, Time & Pay, as well as

- day HR-related inquiries, using Service
Now and Workday to provide prompt and effective responses. - Support with Workforce Administration activities such as Hiring, Onboarding, Offboarding, Job Changes (Promotions, Personal Data Changes, etc. ), time and absence management, and Payroll processes such as pay queries, time input and approval, time off, and absence requests.

- end process participants on at least two process areas. - Escalate complex issues to Payroll Support Tier 2, Team Lead, or Tower Lead.
- Play an active role in “Knowledge Management”, by reviewing, updating, publishing, retiring, and monitoring the use of published HR information (Local Work Instructions, User Guides, Knowledge Articles, etc. ) while ensuring compliance with relevant regulations and policies.
- Provide training and support to WFA Tier 1 support to resolve straightforward HR inquiries and issues based on predefined guidelines and knowledge articles.
- Provide feedback on process improvements and contribute to ongoing enhancements.
- Participate in and support HR-related projects, systems, and technologies. Present findings, recommendations, and project updates to key stakeholders.
- Ensure adherence to SLAs (Service Level Agreement) for response and resolution times while adhering to the quality framework standards.
- Maintain a high level of customer service and professionalism in all interactions. Demonstrate the confidence and knowledge to bring any queries to a satisfactory and timely resolution.
- Strong relationship management with Convatec colleagues and stakeholders, resulting in the satisfactory resolution of inquiries and requests.
- Work closely with various stakeholders to gather input, assess needs, and ensure alignment across business units - Service Delivery Team (WFA, Rewards & Benefits, L&D, Talent Acquisition), COE (Payroll, HRIS @ PSX team, HR population (People Partners, HRBP, PMO), IT provisioning and access team, Finance T&E team, Managers and Employees.
Skill And Experience
- Proficiency in written and spoken English and German (requirement).
- Preferred experience with HR systems and customer service tools such as Workday, Service Now, SAP, MS 365, and MS Teams.
- High attention to detail and accuracy.

Qualifications And Education
- Bachelor's degree in Human Resources, Business Administration, or a related field.
